Terms & Conditions
Confirmed bookings are established upon receipt of the non-refundable deposit. Deposits are non-refundable. Deposits must be paid within 7 days of the date of the invoice, unless prior approval has been granted.
Cancellations: Cancellations must be received in writing. The following applies:
– If a cancellation is received within 24 weeks of the wedding date, 50% of the remaining payment will be invoiced and is payable immediately.
– If a cancellation is received within 16 weeks of the wedding date, the remaining payment will be invoiced and is payable immediately.
The balance of the payment is payable no later than 30 days prior to the event. If we do not receive the full amount within that time, we reserve the right to cancel the booking. Any moneys paid are not refundable.
Waipuna Estate is strictly a non- smoking & non-vaping venue. Smoking & vaping is permitted in certain areas outside. Please ensure your guests use the ashtrays provided.
Any catering companies you engage for your wedding must be fully registered with the local council.
If you choose to postpone your wedding within 6 months of your wedding date, a $1000 surcharge will apply.
This agreement is for the venue only and does not include any additional services other than where guests are using overnight accommodation. We request that guests respect the personal property of Waipuna Estate and the facilities. Any wedding guests who are not staying overnight are asked not to use the kitchen and other facilities aside from bathroom.
Waipuna Estate is a BYO venue for all beverages. We politely ask that this only applies to you, the client providing beverages and guests do not bring their own beverages.
Changes to your event after confirmation may incur costs. For example, this situation may occur if your wedding ceremony and reception has been booked, and changes are made to only have the ceremony at Waipuna.
Adherence to arrival and departure times are strictly enforced. All wedding events must conclude by 12am with music to conclude at 11.30pm. Please let us know if you require any access or items delivered prior to the scheduled arrival time and we will do our best to assist in the circumstances.
In the event of any damage to any part of the venue or any items belonging to Waipuna Estate, being lost or stolen, in each case by any person attending the event, (whether a guest or a service provider hired by or on behalf of the Client), the Client assumes full responsibility for the costs of replacement or repair (to the same standard).
Waipuna Estate staff take the utmost care in handling your cake, gifts, decorations and any other personal items, we do not take any responsibility for any loss or damage to the items. In the event of any client’s property left behind at Waipuna Estate, we will endeavour to maintain the security of said items, but we do not accept any responsibility for damage or loss of property.
The client is responsible for removal of their own décor and decorating items off property before departure and general clean up of these items. Waipuna Estate staff will conduct the cleaning of the venue.
Firework displays are not permissible at Waipuna Estate due to fire risks.
If the venue cannot be made available for causes beyond our reasonable control (i.e. fire or earthquake) we reserve the right to substitute another date but must give you as much prior notification of the change as is reasonably possible. You will, under these circumstances, have the right to cancel the event and have the deposit and any other monies paid to Waipuna Estate refunded in full.
Wait staff: If your caterer does not supply wait staff, you may need to hire staff for serving, for general clean-up of dishes and food products and any debris etc.
Bar staff: You must have bar staff for your wedding. You are welcome to organize this through your caterer, or Waipuna Estate can arrange this for you, please enquire for pricing.
Parking: we will provide someone to direct parking when guests arrive. We request that, due to limited parking space, where possible, guests carpool to the event or shuttles/buses are used to transport guests.
Guest numbers: We can seat a maximum of 85 for a formal, seated meal and a maximum of 100 for a cocktail style meal. Final guest numbers must be confirmed one week prior to your wedding.
Host Responsibility: We take the safety of you and your guests very seriously. Please ensure adequate non-alcoholic beverages and food are available for your guests. Waipuna Estate will provide water for all guests. Minors and anyone intoxicated will not be served alcohol. Please ensure all guests have safe transport arrangements in place. Illegal drugs are strictly prohibited. Anyone found to have brought drugs onto Waipuna Estate property will be asked to leave immediately.
Security: In situations that create a disturbance or escalate beyond reasonable control, guests may be asked to leave the premises, or ultimately the event shut down. We request you nominate a guest that Waipuna Estate staff may liaise with in the event of such a situation arising.
Rubbish and recycling must be taken away following the conclusion of your wedding. Waipuna Estate can organise this for you if you would prefer, please enquire for pricing.
Pampas is a biohazard in New Zealand and will not be allowed on site. It is illegal under the Biosecurity Act. It is an aggressive weed that is a threat to our natural flora and fauna, therefore is not to be used under any circumstances at Waipuna.
